Customer accounts and collection
A regular who settles up monthly, a company buying coffee for its staff, a staff account… Credit goes into the system instead of a notebook: capped by a limit, closed by a statement.
Get “he’ll pay later” out of the notebook under the counter
A sale paid “On account” at the register is recorded as that person’s debt. The cash in the drawer does not change and the day still balances; the debt shows up on screen, on the statement and in the reports.
- Separate account types for people, companies and staff
- Credit limit: a sale that would exceed it is stopped at the register
- In a split payment only the credit part goes to the account
- An overdue badge once the payment day passes
- Cancellations and refunds reduce the debt automatically
“At month end we no longer argue about who owes what; both sides read the same statement.”
From credit to collection
The account opens
A person or company, with a limit and a payment day.
It is put on account
The sale is paid “On account” and the debt is posted at once.
The statement goes out
The period’s entries print with the balance brought forward.
Payment is collected
Cash or card lands both in the drawer and in the ledger.
Where accounts show up
One choice at the register, one account card at head office, one statement at month end.
At the register
On account as a payment method; picking the customer suggests the account.
Account card
Debt, remaining limit, what was added and collected this month.
Month end
The statement is shared, the payment recorded, the account closed.
